TRADE BIZ SOLUTIONS FZC ("we") runs BB – Beyond Books in the UAE. This policy explains what personal data we handle, why, and your rights. It is written to meet the UAE Personal Data Protection Law (Federal Decree-Law No. 45 of 2021).
Two kinds of data
- Data about you as our customer – your name, company name, trade licence and TRN, email, mobile, billing and payment records, support requests, and how you use BB (sign-ins, errors). We decide how this is used.
- Data inside your books – your customers', suppliers' and staff's details, invoices and payroll. Your business decides what goes in and why; we handle it only to run BB for you and to give support you ask for.

We never sell personal data and never use your books for advertising.
Who we share it with
- Our accredited service provider (ASP), which receives your e-invoices and reports them to the UAE tax authority.
- Hosting and backup providers that run our servers and store backup copies.
- Payment providers, which process card payments. We never see or keep full card numbers.
- Email and messaging services we use to send bills, reminders and support replies.
- Service and support tools, including automated and AI-assisted tools that help our team check support requests and find faults, used under our control.
- Your reseller, if you joined through one: only your company name, plan and billing status, never your books.
- Authorities, when UAE law requires it.
Where it is kept
Your data is kept on secure servers run by our hosting providers, with backup copies in separate storage. Each provider is bound by contract to protect the data.
How long we keep it
- Your account data and books: while your account is active, then archived for the period stated in the final notice after it ends (see the Terms, section 3), then deleted.
- Billing records: as long as UAE tax law requires us to keep them.
- Files you send us for a move: deleted 90 days after your company goes live in BB, or kept for as long as you have Previous years and then deleted with your company (see the Terms, section 6).
- Your books file when you close your books and leave: kept only for the download link (30 days), then deleted.
- Backup copies: overwritten on a rolling basis, at most 14 days daily and 12 months monthly.
Your rights
You can ask to see, correct, or delete your personal data, to get a copy of it, or to object to news messages. Some data we must keep by law, such as billing records. For data inside your books, ask your own business first; we will help it answer. Write to support@thebeyondbooks.com. We answer within 30 days.
Security
Access to our servers is limited to authorised staff. Sign-ins use passwords, support access needs your agreement on each request, and keys such as e-invoicing keys are never shown again after they are saved. If a breach affects your data, we tell you and, where required, the authorities.
Cookies
BB uses only what it needs to keep you signed in. Our website uses no advertising or tracking cookies.
Changes and contact
